Check incoming goods in café franchises

1. Sign in

Staff log into the app using their own login, ID badge, or RFID tag. Access is controlled by your organisation, so you decide who can use the system.

2. Choose a workflow

From the workflow library, the operator selects Goods Received In. Workflows are tailored to your processes, so staff are always guided through the correct steps.

3. Capture delivery details

When a lorry arrives, the operator records important delivery information including the supplier’s name, vehicle registration, driver details, and even a photo ID. This ensures every delivery is traceable from the start.

4. Start a delivery session

The operator scans their ID badge to begin a session. This links all the delivery details and scanned items to the right person, making the process fully traceable from the start.

5. Enter supplier information

To save time, the app includes a built-in list of known delivery companies. Operators only need to type a few letters of the supplier’s name, and matching options appear instantly.

6. Ensure accuracy every time

By selecting from a preloaded supplier list, errors from typos or spelling mistakes are removed. Administrators can update this list at any time, and changes are automatically pushed to all devices, ensuring data is always accurate and up to date.

7. Record delivery and driver details

The operator logs key information such as the delivery vehicle registration, driver name, and photo ID. This creates a clear, traceable record of who delivered the goods and when.

8. Check vehicle conditions

Before accepting goods, the operator records the vehicle type (frozen, chilled, or ambient) and measures the internal temperature. If the reading is outside the safe range, an alert is raised and managers are notified instantly.

9. Process all Items in the delivery

Deliveries often include multiple products. Each item is scanned and logged with details such as serial numbers, batch codes, or acceptance/rejection. Once everything is checked, the operator taps Complete to finish the session.

10. Quick product search

The app includes a database of approved food products. Staff only need to type a few letters, and matching products appear instantly for selection.

11. Select the correct product

By choosing from the preloaded product list, operators reduce errors and keep records accurate. This makes audits consistent and easy to track across all franchise locations.

12. Verify product conditions

Each item is checked against the correct storage type (ambient, chilled, or frozen) and its temperature recorded. If an item is outside the safe range, it is flagged, rejected, and reported automatically.

13. Check quality on arrival

Each box of goods is visually inspected for cleanliness, freshness, and damage. If an item fails inspection, it can be rejected or flagged before entering storage.

14. Record use by dates

Operators capture key dates, ensuring products are stored and used within safe time limits. Built in rules prevent items from being kept beyond their safe life in chilled, frozen, or ambient storage.

15. Track supplier data

For every box, extra details like serial numbers, batch codes, and unique IDs are recorded. This makes it easy to trace products, manage recalls, and analyse supplier performance in the future.

16. Complete the delivery session

Once all products are checked and recorded, the operator taps Complete to finish the session. The system clearly shows which items were accepted or rejected, giving a full record of the delivery. All data is then synced securely to the cloud, so managers can instantly review reports and track deliveries across every franchise location.
